Carlow Media Services Equipment Loan Policy

Several different types of equipment are available for short-term loan from the Carlow University Media Services department. This equipment is available to faculty, staff, and students for use during events that are directly related to Carlow University. Some examples include:

  • Need to make presentations at meetings, conferences, or symposia requiring visual digital demonstrations.
  • Need to take minutes or notes at meetings, conferences, or symposia.
  • Need to videotape or photograph meetings, conferences, or symposia.

Reservations of equipment must be placed in advance (not less than 5 business days) by completing and signing a Media Services Loan Agreement Form available from the Media Services. This is necessary in order to adequately schedule the distribution of equipment.

The Media Services Loan Agreement requires the following information be included:

  • Timetable for use (maximum of one week)
  • Intended use
  • Anticipated travel with unit
  • Return date and time of equipment
  • Equipment serial number

 

Loan Procedures

All equipment loans require approval from the Media Services Manager. Loans for more than one week require approval from the Assistant VP for Information Technology. All equipment is provided on a first come first served basis. Daily Media Center orders are taken into account when loaning out equipment. Availability is determined in conjunction with classroom and on-campus requests. Therefore, the Media Center cannot guarantee the equipment requested will be available.

The borrower is required to report any problems experienced with the equipment during their loan period. The borrower will work with the Media Services staff to complete a pre and post inspection of the equipment. Together they will assess and sign off on any problems or damage to the equipment prior to release and before return to the I.T Department. If equipment is not returned by the predetermined deadline, the borrowing employee will be contacted and asked to return it.

Lost, stolen, or damaged equipment is the responsibility of the borrower.   The borrower will be charged for replacement or repair as appropriate.

 

Student Loans

Student equipment reservations must be done no less than two weeks prior to use. Student equipment requests require the following information:

  • Student ID ( Media Center personnel will photocopy)
  • Name of Class
  • Name of Instructor
  • Reason for equipment use
  • Telephone number

Student requests will not be filled until the verbal verification is provided by the instructor.

 

Equipment Available for Loan

The following is a list of equipment currently available for loan:

  • Laptop computer
  • LCD projector
  • Mini DV camcorder with tripod
  • VHS camcorder with tripod
  • Boombox

 

Orientation

Brief orientation sessions are available for all equipment borrowed. These 15 minute sessions include basic instruction of equipment including setup, breakdown, and general operating procedures. Please allow adequate time prior to picking up equipment to receive instruction.
