Using the Chat Feature
   
 

Lotus Notes has a chat feature available, that allows you to “chat” with other Carlow Lotus Notes users, if they have the chat feature enabled.
Instant messages (chats) are interactive, real-time text conversations.
You can see who is online and send an instant, real-time message to them.

You must enable Instant Messaging before you can use Chat and see who is on line. After you enable Instant Messaging, your online status is visible to other users, and you can see who is available online. The online status appears in your mail messages and mail Inbox views as a green square to the left of their name.

Enabling Instant Messaging

1). Click on Click on Preferences

2). Click on the Other tab

3). Check the check box to the left of Enable Instant messaging

Chatting with One Person


You can chat with anyone who has an active or away online status. People who are away can see your instant messages once they return to their computers.
Note: Instant messages are automatically secured with encryption.

1). Do one of the following:
- From your Instant Messaging List, double-click any name highlighted in green
- From a message or view, click the green active online status of the person you want to chat with

Tip: You can open a chat dialog by clicking the green online status icon next to the name of the person with whom you want to chat.

2). When the message window appears, type your message

3). Click the Send button

4). When you have completed your online discussion, click the Close button

Creating an Instant Messaging Group

You can create an instant messaging group. When you add a name to your list, you must add the name to a group.

1). Click the Chat button

3). Type a name for your new group

Adding a Person to Your Instant Messaging List

1). Click the Chat button

2). Click the Directory button

- In the Search field, select an address book
- In the find box type in the persons last name
- Select a name by highlighting the persons name

3). Click the Add button

4). The persons name will now appear in the User name box
In the Instant Messaging – Chat window, select the group to which you are adding the new person

5). Click the Add button
- Add additional names

6). Click Save & Close

Holding an Instant Meeting

To hold an Instant Meeting, start a chat with one person, and then invite others to your chat session.

Do one of the following:
- From your Instant Messaging List, double-click any name highlighted in green.
- From a message or view, click the green active online status of the person you want
to chat with

When the message window appears, type your message
Click the Send button
Click the Invite Others button to add others to your chat session
For each person you want to invite, enter a name or click the Directory button and select a name
Click the Add button
Change the default message (Optional)
- this is the message that the invitee will see when invited to join.
After you have added all the names to the Invitees list
Click the Send button

Tip: To send a Instant Message to someone in the participants list of an active meeting, double-click a name, enter your message, and press Enter.

Removing a Person or Group from Your Instant Messaging List

1). Click the Chat button

2). Select the name of the group or person you want to remove

3). Click the Remove button

4). Click Save & Close

Managing Your Instant Messaging Status

Your online status tells other people if you are available for online chats and instant meetings. Each online status is indicated by a unique icon and a customizable online status message.

The table below describes the types of online status:
Icon:
Status:
Inactive (offline) Instant messaging is not enabled.
Active online Instant messaging is enabled and the person is active.
Away online Instant messaging is enabled, but the person is not available.
Active do not disturb Instant messaging is enabled, but the person does not want to be disturbed.

1). Click your name in the online status display area

- Change the status message (optional)
