You can schedule and invite people to a meeting
using the Calendar feature of Lotus Notes.
An e-mail message will be sent to the receipt with the meeting invitation.
Click
on the Calendar tab
|

Point
to the New tab
Select Calendar Entry from
the drop down list
|
|
Click
on the Invitation button
|
|
Click
on the Invite button to open the Lotus
Notes Address Book (see the Lotus
Quick Tip – Week 3 - Searching the Address Book)
Search
for the names of the people you want to invite to the meeting
Highlight
the name of the person
Click
the Invite button to add the name of each
person you want to invite to the meeting
Note:
use the Optional button to send an invitation to someone whose
attendance is not mandatory, use the FYI (For Your Information)
button to send someone an information-only copy of the meeting
invitation
Click the Exit button to return to the meeting invitation
screen
The Request
Response box should be check-marked
Enter a Subject
Enter a Location
Enter a Start Date and Time and Duration
Enter a Message in the Text box
Click
the Save & Send button

An
e-mail message will be sent to those that you have invited
to the meeting.
In the recipients e-mail inbox, there will be an envelope
icon to the left of the message, indicating that it is a
meeting invitation.
Double click on the message
to open the message

After
opening the meeting invitation, you have the choice to
Accept or Decline the meeting invitation
You can also Check your Calendar from the meeting invitation
view

To
Accept the meeting invitation
Point to the Accept button
Select one of the following options:
Accept
Accept with Comments
Tentatively Accept

To
Decline the meeting invitation
Point to the Decline button
Select one of the following options:
Delegate
Propose New Time
Decline
Decline with Comments
|
|
If
you accept the Meeting Invitation, the meeting will be
automatically added to your Lotus Notes Calendar and
an e-mail response will be sent to the person who invited
you to the meeting, that you can attend the meeting
|

If
you accept the Meeting Invitation, in your mail Inbox
the envelope icon will change to a meeting icon
